Sparrow Energy is searching for a motivated, focused, and experienced administrative assistant for a commercial energy efficiency program in southern California. Our administrative assistant will undertake tasks to ensure the rest of the staff has adequate support to work efficiently.
This position requires high attention to detail and accuracy as well as very clear and proactive communication skills, both with internal teammates, customers as well as safety professionals.

The duties will include but are not limited to:
Taking regular inventory of office supplies/equipment.
Organizing office files in a way that can be easily accessed and understood by employees
Filing various documents both on the computer and in filing cabinets
Welcoming new hires to the office and show them around so they can get acquainted with the workspace
Helping the new hire get set up with their company email
Using programs from the Microsoft Office Suite, and Salesforce CRM
Maintaining office equipment including scanners, fax machines, printers, and telephones
Ordering office supplies when the inventory is running low
Other administrative duties:
Coordinate office activities and operations to secure efficiency and compliance to company policies
Manage agendas/appointments etc. for the upper management
Manage phone calls and correspondence (e-mail, letters, packages etc.)
Create and update records and databases with personnel, financial and other data
Track stocks of office supplies and place orders when necessary
Schedule client appointments and answer program-related questions
Assist colleagues whenever necessary
Our Ideal Candidate is/has:
Bilingual Spanish &/or Chinese
Team-oriented and Professional
Outstanding communication and interpersonal skills
Experience with Microsoft Office and Salesforce CRM
Ability to pass drug and background screening.
Reliable Transportation (Personal Vehicle)
Willing to work flexible hours
High Diploma or equivalent
Ability to lift items 50lbs +
2 years of relative experience
Excellent customer service skills in addition to solid verbal and written communication skills
Status: Full-Time, salary
Schedule: M-F, 9-5pm (weekends on request)
